PLEASE NOTE: It is the intent of this proposal for the District to sponsor these meetings and not the individual clubs. As Meals and Hotel Rooms have become so expensive it is necessary to find sponsors for prizes for Raffles, Light Breakfast, Breaks, Door prizes, Ads for Programs, etc. Club may sponsor events with outside sponsors. It is not necessary to have vendors at these meetings if it is going to cost the GCNC. A simple sign saying THANKS TO/FOR SPONSORING and a thank you letter is in order.

HOTEL CONTRACTS MUST CONTAIN: Everything in writing from Room Rates, AV Equipment, Meals, Rooms, White Boards, Refills for Coffee, Tea. Etc., Tables, Extra Chairs, Head Tables, Registration Tables, Flower Show rooms, Tables, etc. Tables for Raffle, Any and all miscellaneous items. You don’t want any surprises and the hotel needs to be aware of this also.
