2011-2013 RULES FOR NORTH CAROLINA STATE AWARDS

Awards Year: January 1 – December 31
Deadline: December 1 is the deadline for all Books of Evidence to reach the appropriate State Awards Category Chairman (listed with the award descriptions) unless otherwise stated.
- Send all South Atlantic Region (SAR) and National Garden Club (NGC) award entries to the State Awards Chairman (listed above) who will sign the application and forward it to the appropriate committee.
- The State Awards Category Chairman will select the 1st, 2nd, 3rd and Honorable Mention winners for each award in their category. The winning Books of Evidence, along with completed “Category Winners of State Awards” forms for each award in the category, must be sent to the State Awards Chairman by January 2. All entries will be returned to applicants, or their District Director, at the Annual Meeting. If return postage has been sent with the entry, it will be mailed after the Annual Meeting. District Yearbook Chairmen may return non-winning yearbooks to applicants at the District Meeting.
- No award will be given unless the entry merits it and follows the rules for application. The Awards Committee reserves the right to place the entry in a different award category if the entry complies with another award.
- Each entry must be accompanied by TWO properly completed application blanks. One copy must be stapled/permanently attached to the Book of Evidence; the other (for the State Awards Chairman) should be attached with a paper clip. YEARBOOK AWARDS REQUIRE TWO YEARBOOKS WITH ONE AWARD APPLICATION FORM FOR EACH.
- Presentation: not to exceed 6 pages, front and back, for a maximum of 12 pages, not including the manuscript cover. Reports should be typed and material must be attached to page. No loose items will be accepted.
- All entries, unless otherwise stated, must be compiled neatly and concisely in a theme/manuscript folder (preferably green). Exception: Club/Council History Awards (see instructions under Council/Club History category). No Table of Contents and no Title Page needed. Pages may not extend beyond the binder’s edges. No scrapbooks will be accepted. Exception: Club/Council History Awards.
- Only individuals, clubs or groups of clubs who are members of the GCNC are eligible for state awards.
- Only councils, all of whose members are member clubs of GCNC, are eligible for AWARDS OFFERED TO COUNCILS.
- A CLUB IS ELIGIBLE FOR ONLY ONE AWARD FOR A SINGLE PROJECT, i.e., the same project should not be used for two or more award applications. When the same project is eligible for various awards, submitting exact duplication of Books of Evidence is not acceptable.
- First place for any award may not be won by the same club, council or individual in two successive years. (Exception: Awards having to do with largest number of items sold or planted, points earned or amount contributed in proportion to club membership.) A first place winner of any award is eligible to win 2nd, 3rd, or Honorable Mention for that award in the following year.
- The award description under each award specifies all requirements. Awards requiring a BOOK OF EVIDENCE are so noted in the award descriptions. Awards requiring WRITTEN REPORTS are also so noted.
- Flower Show Awards: Applications for all GCNC, SAR and NGC flower show awards must be in the hands of the State Flower Show Awards Category Chairman by December 1. Applications will be judged for GCNC awards; NGC evaluation forms will be added and the winning applications will be forwarded to the State Awards Chairman by January 2. Books of Evidence for GCNC and NGC awards should follow the requirements for NGC Flower Show Awards. Refer to rules in the 2007 HANDBOOK OF FLOWER SHOW; the odd year, summer issue of The National Gardener; or National Garden Clubs website (www.gardenclub.org).
- Winners of all awards shall be kept secret until announced at the Annual Meeting Awards Banquet.
